UTM Parameters Explained: Naming Conventions and How to Read Them in GA4

UTM parameters are short tags you add to the end of a URL, such as utm_source, utm_medium and utm_campaign, so your analytics tool can tell where each visit came from. Use lowercase, consistent names for source (where), medium (how) and campaign (why), then read the results in Google Analytics 4 under the traffic acquisition reports. Without them, much of your social and messaging traffic is lumped into vague groups.

What UTM parameters are

A UTM tag is just text added after a question mark in a link. It changes nothing for the visitor, who lands on the same page.

But when the visitor arrives, your analytics tool reads the tags and records them. That is how you learn that a visit came from your newsletter, your Instagram story or a printed flyer.

Here is a full example: https://example.com/offer?utm_source=instagram&utm_medium=social&utm_campaign=summer_sale

The five parameters

ParameterQuestion it answersRequired?Example
utm_sourceWhere did the visitor come from?Yesinstagram, newsletter, google
utm_mediumWhat kind of channel was it?Yessocial, email, cpc, qr
utm_campaignWhich campaign or promotion?Recommendedsummer_sale, ramadan_menu
utm_termWhich keyword (paid search)?Optionalurl_shortener
utm_contentWhich version of the ad or link?Optionalstory_button, bio_link

Most marketers use only the first three, plus utm_content when they test variations.

Naming conventions that keep your data clean

The biggest problem with UTM tags is not technical. It is inconsistency. GA4 treats Facebook, facebook and fb as three different sources.

Agree on these rules and write them down:

  • Use lowercase only.
  • Use underscores or hyphens instead of spaces. Pick one.
  • Keep names short and descriptive.
  • Never put personal information such as names or phone numbers in a tag.
  • Reuse the same names every time.

The medium column matters most for grouping. Keep to a short list of mediums so that your reports stay readable.

How to create tagged links, step by step

  1. List where you will share the link. One row per placement.
  2. Choose source, medium and campaign from your naming table.
  3. Add the tags to the destination. Start with ? after the address, then join each parameter with &.
  4. Shorten the result. A long tagged link looks suspicious and breaks easily in messages. See the next section.
  5. Test the link. Open it and check that the right page loads.
  6. Record it. Keep a spreadsheet of every tagged link and what it was used for.
  7. Check the data after a few days. Look in GA4 for the new campaign name.

Why you should shorten tagged links

A link with three or four UTM tags can be 150 characters long. It is ugly in a bio, awkward in a text message and impossible to read on a printed page.

A short link hides the tags and keeps the destination clean. In a QR code, a shorter link also means a simpler pattern that is easier to scan. You can read more about this in our guide to measuring link clicks.

How to read UTM data in GA4

GA4 collects the tags automatically when visitors arrive on a page where GA4 is installed. You do not need extra setup, but the page must have your GA4 tag.

  1. Open your GA4 property and go to Reports, then Acquisition.
  2. Open Traffic acquisition.
  3. Change the main dimension to Session source / medium to see your source and medium pairs.
  4. Switch the dimension to Session campaign to see your campaign names.
  5. Add a secondary dimension if you want to compare, for example by country or device.
  6. Look at engagement and conversion columns, not only the number of sessions.

Menu names and layout in GA4 change from time to time, but the idea stays the same: pick a dimension, compare channels and look at outcomes.

Which platform sends the most visitsSession source / medium
Which promotion performed bestSession campaign
Which ad or button version wonManual ad content (from utm_content)
Whether visitors did something usefulEngagement and key events

Combine this with the click counts in your link tool. Clicks show intent. GA4 shows what happened after the visit. If your visitors also come from your bio page, tag each button.

A worked example

Imagine a café promoting a new summer drink with one campaign called summer_drink. It shares the same landing page in three places and tags each one differently:

  • Instagram story: source instagram, medium social, content story.
  • Table card QR: source table_card, medium qr, content menu_side.
  • WhatsApp broadcast: source whatsapp, medium messaging, content regulars.

After two weeks, the café opens the campaign report and sees which placement brought the most visits. It then moves its effort to the best one. That decision would be guesswork without tags.

Set rules for your team

Tagging works only when everyone follows the same rules. Keep a short shared document with your allowed sources, mediums and campaign naming pattern, for example topic_month.

Name one person as the owner of the list. Whenever someone needs a new source, they ask and it gets added, instead of everyone inventing their own. Templates in your link tool make this easier because the values are chosen from a list and not typed by hand.

When you do not need UTM tags

Never tag internal links on your own site, because the tag replaces the original source of the visit. And if your destination has no analytics tool at all, the click statistics in your link tool already tell you how many people tapped, from where and on which device.

Common mistakes

  • Mixed upper and lower case. It splits one source into several rows.
  • Tagging internal links. UTM tags on links within your own site overwrite the real source of the visit.
  • Using spaces or special characters. They get encoded and look messy.
  • Putting personal data in tags. Never include names, emails or phone numbers.
  • Forgetting the medium. Without it, traffic may fall into the wrong group.
  • No record of what each tag means. Six months later nobody remembers.
  • Changing names mid-campaign. It breaks the comparison.

How to do it in LinkEase

LinkEase has UTM parameter templates. You save your standard source, medium and campaign values once, then apply them when you create a link, so everyone on your team uses the same names. Each short link also records clicks with country, city, device, browser, referrer and language, which you can compare with your GA4 numbers.

Campaigns let you bundle related links, and CSV import and export help when you tag many links in a spreadsheet. See the pricing page to compare plans, or create a free account.

If you also use paid ads, our guide on the Facebook pixel on short links shows how tracking and retargeting fit together.

Frequently asked questions

Do UTM parameters affect SEO or page speed?

They do not change what visitors see. Use them on links you share outside your site, and avoid them on internal links.

Which UTM parameters are required?

Source and medium are the essential pair, and campaign is strongly recommended. Term and content are optional.

Does GA4 show UTM data immediately?

Some reports update quickly and others take longer, so give it a day before drawing conclusions.

Can I use UTM tags with QR codes?

Yes. Tag the destination with a source such as flyer and a medium such as qr, then turn the shortened link into a QR code.

Should I use utm_source=facebook or fb?

Choose one and use it forever. Full names like facebook are clearer to everyone reading the report.
